What's Included in a Commercial Cleaning Contract?

A commercial cleaning contract sets out what gets cleaned, how often, by whom and at what cost. Getting it right at the start saves confusion later, for you and for your cleaners.

At The Clean Co., we put together cleaning plans for offices, clinics, restaurants, shops and industrial units across Weston-super-Mare and North Somerset. This guide explains what a good contract usually covers, what's often extra, and what to check before you sign.

9 Things a Commercial Cleaning Contract Should Cover

1. The cleaning schedule

How many visits a week, on which days, at what time, and how long each visit lasts. Many businesses prefer early mornings or evenings so cleaning doesn't get in the way of work. Check the minimum visit length too. Ours is two hours.

2. The cleaning specification

This is the task list, room by room. For a typical office it might include:

  • Desks, surfaces and touch points dusted and wiped
  • Kitchens and break areas cleaned
  • Floors vacuumed and mopped
  • Washrooms cleaned and restocked
  • Bins emptied

A clear specification is the most useful part of any contract. When it's written down, everyone knows what "clean" means for your building.

3. Daily, weekly and periodic tasks

Some jobs happen every visit. Others are weekly or monthly, such as high-level dusting, skirting boards, or the inside of fridges and microwaves. A good contract separates them so nothing gets forgotten.

4. Products, equipment and consumables

Check who supplies the cleaning products and equipment. At The Clean Co., everything is included, with eco-friendly options in biodegradable packaging. Also agree who buys washroom supplies such as toilet roll, hand towels and soap, so restocking is never missed.

5. Staffing and cover

Who will clean your site, and what happens when they're off? We provide the same team each visit and arrange cover if someone is unavailable, so your cleaning doesn't stop.

6. Insurance and health and safety

The contract should confirm the cleaner's insurance and how they manage health and safety, including risk assessments and the safe use of cleaning chemicals (COSHH). We're fully insured for commercial, site and contract cleaning, and SafeContractor accredited.

7. Access and security

Keys, alarm codes, out-of-hours access and who to call if something goes wrong. Agree how keys are stored and who holds them before the first visit.

8. Price, payment and notice

The price per visit or per month, how you'll be invoiced, when prices are reviewed, and how much notice either side needs to change or end the agreement.

9. Communication and quality checks

How you report a problem, who you speak to, and how quickly it's put right. With our owner and managers regularly out on jobs, you'll always have someone who knows your site to talk to.

What's Usually Quoted Separately

Some specialist jobs fall outside a regular cleaning contract and are priced on their own.

These often include:

It's worth asking whether these can be added when you need them, so you only deal with one company.

Questions to Ask Before You Sign

  • Is there a written cleaning specification for every area?
  • What's the minimum visit length?
  • Are products and equipment included?
  • Who are my regular cleaners, and what happens if they're off?
  • How do I report a problem, and how quickly is it fixed?
  • How much notice is needed to change or end the contract?

Frequently Asked Questions

How long is a commercial cleaning contract?

Contract length varies between companies, from rolling monthly agreements to fixed terms of a year or more. Always check the notice period before you sign, so you know how easily you can change or end the agreement if your needs change.

Can I change my cleaning contract later?

Yes, a good contract should be flexible. You can usually add visits, change days or add extra tasks as your business grows. Agree how much notice is needed for changes when the contract is set up.

Who provides the cleaning products?

It depends on the company, so check the quote. At The Clean Co., all cleaning products and equipment are included in the price, with eco-friendly options in biodegradable packaging.

How often will my premises be cleaned?

That's agreed in the contract and depends on your footfall and the type of premises. Most offices and shops suit daily or weekly cleaning, with washrooms and kitchens needing the most attention.
